The lighter path. We need to know the company is real and can pay.
Every buyer
- Company profile (PDF) (optional) · A short PDF about the company, if you have one.
- Certificate of incorporation
- Business / trade licence
- Director passport or ID
Past imports are optional. A short company profile is enough.
Direct buyer (end user)
Your company uses or distributes the product.
- Letter of intent on company letterhead · On your company letterhead, signed.
- Bank comfort letter (BCL) or RWA-ready letter · Bank comfort letter (BCL) or RWA-ready letter. The amount can be a range or left out.
- Import licence (optional)
- Import history, last 12 months (optional) · Past imports: customs declarations or B/Ls. Redaction is fine.
Buyer mandate
A buyer has authorized you in writing.
- Signed mandate / authorization from the buyer · The buyer's signed authorization naming your company, still valid.
- Letter of intent on company letterhead · The buyer's LOI on their letterhead.
- Bank comfort letter (BCL) or RWA-ready letter · The buyer's bank comfort letter (BCL) or RWA-ready letter. A range is fine.
- Principal's company documents (incorporation) (optional) · The buyer's company documents.
- Import licence (optional)
- Import history, last 12 months (optional)
Buyer intermediary / broker
You work with a buyer or buyer mandate.
- Signed authorization letter from the mandate, seller or buyer · Signed by the buyer or the buyer mandate, naming your company.
- Letter of intent on company letterhead · The buyer's LOI on their letterhead.
- Bank comfort letter (BCL) or RWA-ready letter · The buyer's bank comfort letter (BCL) or RWA-ready letter. A range is fine.
- Import licence (optional)
Sellers
The heavier path. We need the full company file and proof you can deliver.
Every seller
- Office photos · Outside sign and inside the office. A few photos in one PDF is fine.
- Company profile (PDF)
- Signatory passport or ID · The person who signs for the company.
- Certificate of incorporation
- Business / trade licence
- Tax or VAT number certificate
- MOA / AOA or shareholder register
- Import / export licence (optional) · Only if your country asks for one.
- Director passport or ID
Plus 1 to 5 past deals, each with a supporting document (B/L, invoice or SGS report). This is required for sellers.
Refinery / producer
You make the product.
- Refinery operating licence
- Production capacity certificate
- Storage / tank information
- Latest SGS / Intertek / CIQ quality report · Product spec sheet with the latest lab report.
- Export licence
Direct seller (title holder)
You own the product in a tank or on a vessel.
- Proof of title (e.g. tank storage receipt) · Tank storage receipt (TSR) or similar proof that you hold the product.
- Latest SGS / Intertek / CIQ quality report · Dated in the last 90 days.
- ATSC / dip test authorization (optional)
- Bill of lading from a previous cargo (optional) · Black out the sensitive parts.
- Storage agreement with the tank farm
- Supply / allocation contract with the refinery · Prices can be blacked out.
Seller mandate
A seller or refinery has authorized you in writing.
- Signed mandate agreement / letter of authority · Must name your company, on the seller's letterhead, and still be valid.
- Seller's company letterhead
- Principal's company documents (incorporation) · The seller's or refinery's own incorporation papers.
Seller intermediary / broker
You work with a mandate or seller.
- Signed authorization letter from the mandate, seller or buyer · From the mandate or seller you work with.
- NCNDA / IMFPA chain position declaration
